Facility & Operations Supervisor

We’re looking for a proactive, detail-oriented Facility & Operations Supervisor to lead our Facility & Operations Division. This role is essential to maintaining strong financial controls, efficient facility operations, and compliance with safety and regulatory requirements—ensuring a safe, well-managed environment for staff and guests. 
 
What You’ll Do 

Financial Coordination & Controls 
  • Oversee all divisional financial coordination and act as the primary liaison with the bookkeeper 
  • Monitor and approve divisional expenditures in alignment with approval processes 
  • Manage contract files for security, janitorial, and pest control services 
  • Request preparation of accounts receivable invoices, issue finalized invoices and statements, and follow up on outstanding receivables 
  • Reconcile verified occupancy data and coordinate billing accordingly 
  • Maintain accurate accounts payable and accounts receivable records 
  • Ensure strong internal controls and separation of duties across financial workflows 
  • Review and approve accounts payable transactions and online banking items as required 

Facility Operations 
  • Coordinate renovations, maintenance projects, operational improvements, and safety initiatives 
  • Source and manage external service providers, track progress, and confirm work is completed as agreed 
  • Oversee building safety, security, and maintenance programs 
  • Supervise janitorial, security, and pest control services 
  • Manage key control systems and building access 
  • Maintain accurate maintenance logs and inspection calendars 
  • Monitor and report on project progress, risks, and outcomes to the General Manager 

Divisional & IT Support 
  • Order and manage office supplies and uniform inventory 
  • Coordinate IT support requests, service tickets, and technician visits 
  • Maintain logs of hardware assets and IT services 

Safety & Compliance 
  • Lead emergency preparedness planning, fire drills, and evacuation procedures 
  • Review and update emergency procedures to ensure accuracy and accessibility 
  • Chair monthly Health, Safety, and Environment (HSE) Committee meetings 
  • Support WCB compliance and liaise with third-party safety consultants 
  • Ensure licenses, permits, insurance policies, and regulatory filings remain current 

Records Management 
  • Oversee accurate operational recordkeeping systems 
  • Manage records retention and coordinate secure file destruction after the required seven-year retention period 

Leadership 
  • Supervise the Facility & Operations Coordinator and Facility Technicians 
  • Provide coaching, guidance, and ongoing performance feedback 
  • Establish priorities, delegate tasks, and monitor progress 
  • Identify improvement opportunities and implement solutions 
  • Keep the General Manager informed of operational risks and emerging needs 
 
What We’re Looking For 
  • Certificate or diploma in Business Administration, Office Administration, or a related field (or equivalent experience) 
  • 1–3 years of experience in finance coordination, office administration, or facilities support 
  • 1–2 years of project management experience (asset) 
  • Familiarity with Alberta health and safety legislation (asset) 
  • Proven ability to manage multiple projects simultaneously 
  • Strong attention to detail and ability to meet tight deadlines 
  • Exceptional organizational, time-management, and problem-solving skills 
  • Effective communication skills with internal teams and external vendors 
  • Proficiency with Microsoft Office (especially Excel) and willingness to learn new systems 
 
Working Conditions 
  • Primarily office-based with regular on-site inspections 
  • Periodic lifting of up to 25 lbs 
  • Exposure to maintenance and inspection environments 
  • Flexibility to respond to facility or operational needs outside regular hours (not guest-services on-call)
